Scenario
Our client operates in the construction industry and has a number of employees, as well as using subcontractors for certain projects. Income and expenditure was being tracked in spreadsheets, and spreadsheets were also being used to create invoices. All physical purchase invoices and receipts were provided to their previous accountant to reconcile against the bank and prepare VAT returns, and digital invoices or receipts were forwarded on to the accountant by email.
In this scenario, a lack of digitisation, fragmented approach to record keeping and heavy reliance on manual data entry was making bookkeeping difficult to manage, time-consuming and vulnerable to errors and oversights.
Solutions
After meeting with the client to discuss their existing processes, we proposed setting them up on Xero. The client continued to use their existing spreadsheet-based system for the last two months of their accounting period, but alongside Xero in order to get used to the software.
Once the year-end had been finalised, the client transitioned to using Xero exclusively in the knowledge that everything on the platform was up-to-date.
Purchase invoices and receipts are uploaded directly onto Xero via the Hubdoc app, and invoices are created and issued via Xero’s in-built invoicing features.
VAT returns are prepared and submitted on Xero, removing the need for the client to drop off quarterly records. This also enables them to see their VAT position on Xero throughout each quarter, and to plan for any payments owed to HMRC as a result of the return.
After a year of using Xero, the year-end accounts were prepared in the software via our remote access, once again removing the need for the client to drop off physical records, or to supply spreadsheets.
How did digitisation benefit the client?
- The use of Hubdoc enabled the client to easily record receipts whilst on-site, and improved the speed of processing purchase invoices
- Time spent generating and issuing invoices was significantly reduced, by automating much of the process in Xero and making use of the software’s in-built features (i.e., repeating invoice template)
- Credit control was made easier owing to Xero’s automated reminders to customers with outstanding payments
- Implementation of bank feeds enabled the client to reconcile transactions in real-time, rather than having to download bank statements
- Xero’s reporting functions allowed the client to track debtors and creditors in real-time, and in particular helped them to identify customers who often took longer to pay, and so manage their cash flow more effectively in the long-term
- By preparing the VAT in Xero, we are able to make ensure the returns were accurate and compliant, and the client is able to view and approve the return quickly and easily.
Overall, the use of Xero in this instance has completely transformed the bookkeeping workflows and increased efficiency across the business. The client has also benefitted from being able to engage more with the financial performance of their business, as a result of access to live data and reporting, enabling them to identify areas for improvement and opportunities for growth.
